Event production might look glamorous from the outside, so why is it so stressful? Red carpet, light shows, unforgettable events… that’s all great. Well, from the inside the picture looks a whole lot different. In events, we deal with constant demands, everything needs to be perfect, stakes are high and the pressure is up there. The phrase last-minute is way too overused in this field, and not in a good way. And that is why the challenges of working in event production push even the most resilient pros worldwide to their limits.

To put it simply: event production is high-stakes, high-pressure, and high-speed. And let’s not forget that this kind of work is not only demanding mentally, but also physically.

As stated before, every event has its hiccups, but in event production, the stakes are higher. Just imagine a tech glitch minutes before showtime. Or a weather disaster at an outdoor event. I myself experienced evacuation of thousands of people on more than one occasion. In short, handling stress in event production means being ready for anything at any time. And most importantly, expect it. 

2. Perfectionism and Attention to Detail

It won’t surprise you that in events, every detail needs to be flawless. That’s why coping with perfectionism in events is a major mental hurdle. The weight of perfection can be crushing. And finding a balance between perfect and “this works perfectly” is very important to keep you sane. There are do do-overs when it comes to events. Or, none that don’t lead to a PR nightmare. 

Simply put, if you don’t find a way to deal with this kind of pressure,  it may lead to a chronic burnout.

3. Client Expectations and High Stakes

In this industry, clients come with visions as high as the budget they’re putting up—and sometimes higher. Or in some industries, the expectations are extremely high, even though the budget is way too low. 

Whatever the case, meeting and managing these expectations while balancing logistical limitations causes intense stress. What makes it so stressful? Well, because one misstep in managing expectations can mean a career-damaging failure. Sometimes a simple “no” to client’s unrealistic visions can go a long way in keeping you sane.

Another reason why events are so stressful is the long hours. The all-day, all-night schedule in high-pressure careers in event planning is notorious. After all, is life of a party, right? Late nights, back-to-back meetings, and last-minute changes drain your energy fast, and stress can pile up quickly. It’s obvious that a burnout is almost a rite of passage for most. But few “lucky ones” make it without real sacrifices. So are they really just lucky? Or how are they doing it?

To survive the demands of this industry that causes work related ill health year after year, you need solid stress management. Here are some ways to reduce stress and tips to survive and stay sane in this high-stake field:

  • Focus on What You Can Control: This rules counts for any stress situation, not only in events, but also in life. With so much at stake in events, it’s easy to get overwhelmed. But you have to remember that not every challenge can be handled perfectly. And rather that focusing on pure perfection of execution, you have to start prioritizing yourself and your mental health.
  • Delegate and Trust Your Team: Event production requires a team effort. Rely on your colleagues to help keep the wheels turning, reducing the pressure on yourself. I know, it’s hard. It took me a long time to learn to delegate. But with right training and a decent level of trust, your team might surprise you.
  • Seek Help to Prevent Burnout: Event managers and producers are usually seen as super-heroes. That don’t sleep, have all the  answers and can magically fix everything. Let’s be honest, mental health in event industry  is no joke. Recognize when you need a break and ACT ON IT. And even though you are usually the one who is there for everyone, seeking support can make all the difference. Asking for help is not a weakness. In fact, it shows strength and self-respect.

There’s a reason why event production ranks among the most stressful professions in the world. Between tight deadlines, high stakes, budget restrictions, and constant unpredictability, the pressure on event producers is unmatched. On the other hand, the thrill of bringing a vision to life makes it all worthwhile. And the feeling when it all works out and everyone is happy, is just priceless.
